Events are the heart of Pixalo. Here you create and manage your photography events, assign classes and students, and upload photos.

Under Events & Photo Shoots in the sidebar, you can see all your photo shoots in a clear table.

Opens the wizard to create a new photo shoot.

Create New Photo Shoot

Click "+ Create photo shoot" in the top right to open the two-step wizard.

Step 1: Choose Shoot Type

First, select the desired shoot scenario. This controls the workflow (e.g., QR volume system vs. simple customer gallery):

School / Kindergarten (1) — Enables automated assignment via QR code (volume subscription).

Staff (2) — Workflow for corporate portraits, departments, and approval proofing.

Wedding / Studio (3) — Direct upload to a general customer gallery.

Step 2: Fill in Details

Enter the name, date, and assigned partner:

Change shoot type (1) — Allows you to change the chosen shoot type (e.g. school) later.

Select client (2) — Select the school from the dropdown or click "+ Create new" to create a new partner directly.

Create photo shoot (3) — Saves the new job and creates the event in your overview.

In the detailed view, you manage classes, upload photos, manage the participant list, and generate access cards.

Core Interactive Areas:

Create group (+ New)

Creates a new class or group (e.g., "Bug group") for this job.

Upload group photos

Opens the upload area to upload general group or class photos that should be visible to the entire group.

Import list of children (Bulk Import)

Launches the import wizard to upload a list of names from Excel or CSV and automatically assign all children.

Add child (Manual)

Manually adds a single child or participant to the currently selected group.

Generate / print QR codes

Creates the PDF print file with personalized access cards and QR codes for all children of the selected group.

Manage Groups & Participants

Depending on the type of photo shoot (e.g. school, kindergarten, or sports club), you manage the corresponding structure here. For schools you create classes and students, for kindergartens groups and children, for sports clubs teams and players, and for weddings or other events general people.

1. Bulk Import via Excel / CSV (Recommended)

For larger photo shoots, bulk import via Excel or CSV is highly recommended. This saves you a lot of time and creates all children, students, or players along with their group assignment with a single click. To do this, click "Import" (or "Import child list") and upload your list of names.

Take a photo of the printed participant list directly with your mobile phone and upload the image – the system does the rest.

✍️ Handwriting Recognition

Even neatly written consent forms or handwritten notes on paper are precisely deciphered by the AI.

📄 PDF, JPEG & PNG Support

Whether structured table, photo, or PDF – the AI extracts the columns (first name, last name, group/class) fully automatically and reliably.

Drag and drop your CSV or Excel list into the box or select it using the file manager:

2Step 2: Map Columns (Mapping)

Map the column headers of your file (e.g. first name, last name, group/class) to the fields in the system. The system automatically suggests recognized matches:

First Name Column (1) — Select the table column for first names.

Last Name Column (2) — Select the table column for last names.

Group Column (3) — Select the column for the groups/classes.

Parent Email Column (4) — Column for legal guardian emails.

Load Preview (5) — Switches to the next step to review the imported datasets.

3Step 3: Review Preview & Import

Check the loaded data, the number of valid rows, detected duplicates, or any errors. With a click on "Import", the list is processed:

Import (1) — Finalizes creation of all groups and children in the database.

Back (2) — Allows you to correct the column mapping once again.

2. Create Groups & Classes (Manual)

If you want to create groups individually by hand, click the "New" button under the "Groups" (or "Classes", "Teams") section. Enter the name (e.g. "Bug Group", "Class 1A", or "U13 Youth") to create the structure.

3. Add Participants Manually (Alternative / Late Arrivals)

If you only want to enter individual participants (e.g. children, players, or staff) manually or capture late arrivals, you can enter them directly in the system. To do this, click on "Add child" (or "Add student/player"). Enter the first name, last name, and optionally the email address of the legal guardians or participant.

Status Control

Set an event to "Active" so that it is visible to customers in the shop. Set to "Inactive" to keep the event visible only in the dashboard.

Create QR Access Cards

Once your groups and participants are set up, you can generate individual QR cards to photograph during the shoot.
